Administration & Document Controller

As an Administration & Document Controller, you will perform administrative and document control tasks within the Engineering organization unit at Aibel (Thailand) Ltd. In this role, you will be responsible for managing day-to-day office operations, coordinating office supplies, supporting facility management, assisting with employee onboarding, and controlling engineering and supplier documentation in internal and external databases.

About the position Administration & Document Controller provides administrative support and document control services in accordance with Aibel requirements, procedures, and quality standards.

In this role, your responsibilities include

Provision of Administration (Office Facilities)

  • Manage day-to-day office operations, including filing, correspondence, and document management.
  • Coordinate office supplies, equipment, stationery, office consumables, and service providers to ensure smooth operations.
  • Act as the focal point for office stationeries and consumables, and liaise with internal departments, vendors, external service providers, and Aibel supply chain management.
  • Support and coordinate team activities with the building landlord.
  • Assist with onboarding arrangements for new employees, including workspaces, access cards, and office equipment.
  • Perform other administrative duties as assigned by the office manager or management. Provision of Document Control:
  • Register all incoming and outgoing engineering and supplier documentation in internal and external databases.
  • Verify all technical documentation regarding document numbers, titles, and revisions.
  • Distribute documentation accompanied by transmittals generated in ProArc according to current distribution matrixes and project routines.
  • Participate in the development and improvement of internal processes. General Responsibilities & HSE/Quality:
  • Observe HSE requirements, report unsafe actions and conditions, and participate in toolbox talks.
  • Implement quality standards, perform work according to governing documents in W3 and correct IT applications, and provide feedback for continuous improvement.
  • Proactively seek information/clarification needed from other roles, ensure quality and self-check of own work, and understand project contractual requirements.
  • Perform day-to-day operations within planned budget, execute productivity improvements, cost reduction activities, and adhere to Delegation of Authority (DoA) limits.
  • Carry out work in full compliance with the Company's Code of Conduct and ethical standards Qualifications
  • Male or Female.
  • Bachelor’s degree in business administration or a related field.
  • Experience related to administration and document control is beneficial (new graduates are also considered).
  • Good command of English.
  • Good communication and interpersonal skills.
  • Ability to prioritize and organize own work to meet tight deadlines.
  • Competence in MS Office programs and computer applications, with typing proficiency in both English and Thai. Personal qualities

Self-motivated, responsible, and proactive, with a positive attitude toward teamwork and continuous learning. Demonstrates good analytical and problem-solving skills, and is able to work effectively within a multidisciplinary and multicultural engineering environment, with a good command of written and spoken English.
